• THCIC data is governed by specific statutes separate from standard public health surveillance laws.
• It is a criminal offense to attempt to identify any physician or patient using THCIC inpatient data.
• THCIC does not perform data analysis or calculations.
• Only the approved data sets are provided to the researcher.

Register for an IAMOnline account to access the DSHS OneAegis IRB System.

Visit the Requesting Access to the DSHS IRB OneAegis System for instructions.

1. Access the DSHS OneAegis IRB System via IAMOnline.
2. Complete the application.
3. Upload a copy of a completed and signed IP RDF Order Form the submit your application.

Note: For data from years 1999–2021, email THCIC Help to request the appropriate order form. 

1. THCIC will check your application. You’ll get feedback in 5 to 10 business days.
2. Correct any missing or incomplete data.
3. After you submit your revisions, THCIC will check your changes. If your changes are good, your application will go to the next approval level.
4. If there are still concerns, THCIC will contact you to make additional adjustments.

This process will repeat for all levels of approval, which include:

• Office of General Counsel (OGC)
• Chief State Epidemiologist

…before the Institutional Review Board (IRB) can review it.

Your application will be submitted to the IRB Committee at least four (4) weeks before the scheduled meeting date.

You will receive the IRB Committee’s decision within two weeks of the IRB meeting.

If this is your first time submitting an IRB request, the Executive Steering Committee (ESC) will review it for final approval.

If your application is approved, you will receive an email with an invoice within two business days for the approved data request.

Once payment is received, you will receive an email with a link to download your dataset.
