Providers enrolled in the ASN program receive vaccines at no cost to support eligible ASN patients. Additional benefits include:

• Patients stay with their primary care provider
• Adults receive vaccines on time
• Ability to bill a $25 administration fee
• Training and education are provided at no cost for provider staff

Provider types that qualify to enroll in the ASN Program include, but may not be limited to, clinics that are formally recognized as one of the following:

• DSHS Public Health Region (PHR) Offices
• Local Health Departments (LHD)
• Federally Qualified Health Centers (FQHC)
• Rural Health Clinics (RHC)
• Federally Recognized Indian Tribes

Facilities required to submit CMS letters are Federally Qualified Health Centers (FQHC) and Rural Health Clinics (RHC).

If an ASN vaccine is administered to an ineligible adult, sites are responsible for replacing the improperly used vaccine with private stock. Please refer to Chapter3, Section II, A on “Vaccine Borrowing” of the TVFC/ASN Provider Manual for more information.

Adverse events occurring after getting vaccinated should be reported to the Vaccine Adverse Event Reporting System (VAERS) | HHS.

The Immunization Section publishes data for the National Immunization Survey results, school vaccination coverage levels reports, conscientious exemption data, TVFC flu vaccination coverage rates, and ImmTrac2 vaccinations administered.

Submit a request through our data request form found here on Data Request Form. Data requested may be suppressed to protect patient privacy when reporting vaccination data.

Health care professionals and payors must comply with the ImmTrac Electronic Transfer Standards (ETS) to electronically import immunization data into ImmTrac2. Health care professionals submitting HL7-formatted immunization (VXU) messages to ImmTrac2 must do so via certified EHR technology. Visit CMS.gov for more information.

You can submit immunization data to ImmTrac2 in various ways:

• Submit files ImmTrac2 via encrypted File Transfer Protocol (FTP).
• Medicaid and CHIP submit client data to HHSC electronically via the ImmTrac2 HHSC Interface.
• Health plans can submit data for multiple clients via secure download or encrypted FTP.
• Single client searching and generation of immunization histories are available to payors online via the ImmTrac2 web application.

Besides Secure File Transfer Protocol (SFTP) electronic reporting, the Registry offers Bidirectional data exchange in which providers can download immunization data for their clients into their EHR systems.

No, ImmTrac2 currently only accepts messages using HL7 version 2.5.1 as described in publication 11-14972 Texas Immunization Registry HL7 2.5.1 Implementation Guide” on the materials page.

Yes, per TVFC policy and guidelines, all TVFC enrolled providers must carry all ACIP recommended vaccines in accordance with the TVFC operational manual. If a provider is classified as a specialty provider in Syntropi, then they can choose the vaccines relevant to their practice.

All newly enrolled providers will receive a data logger from the TVFC program. Responsibility for subsequent data logger needs, such as calibration recertification or purchasing a new data logger falls solely on the provider.

The first step in joining the TVFC or ASN program is to complete the TVFC/ASN programs agreement. If you need assistance, you should contact your Responsible Entity (RE) or the DSHS Immunization Program at the phone number listed on the agreement form. The TVFC/ASN programs agreement is available on the DSHS Immunization Program Enrollment.

All vaccines recommended by Advisory Committee on Immunization Practices (ACIP) are available from the TVFC program to enrolled clinic sites.

Clinics participating in the TVFC program are required to offer all ACIP-recommended vaccines to the eligible populations they service, including influenza vaccine. The signing clinician at the TVFC/ASN-enrolled sites may choose vaccine brands and presentations.

Approved TVFC providers will receive access to the Vaccine Allocation and Ordering System (VAOS) to place orders for vaccines. Vaccines are ordered and shipped at no cost to the provider.

Clinics enrolled in the TVFC program are prohibited from charging any TVFC-eligible child for the cost of vaccines.

Yes. You will have direct communication with a Responsible Entity (RE) who can address any questions or concerns relating to the TVFC program.
